What does this job entail?
- We’re seeking an Administrative Assistant to support multiple departments within our Administration division’s efficient operations.
- Duties include assisting in contract preparations and organization, prequalification questionnaires, Certificates of Insurance review and verification, accounts receivable and invoicing, maintaining calendars, scheduling appointments, and coordinating meetings.
- The ideal candidate should prioritize confidentiality, exhibit proficiency in various office software programs, and embody our company’s core values while fostering customer engagement and satisfaction.
Additional responsibilities include:
- Maintaining accurate and organized filing systems for easy retrieval of documents
- Assisting with journal entries and data entry for accounting purposes
- Working with IT support service vendor(s) and managing the communications between vendor(s) and CAO
- Participating in planning and organizing company events by contributing ideas, coordinating logistics, and assisting with execution
- Multitasking efficiently, balancing various responsibilities, and adapting to changing priorities as needed
- Demonstrating independence in decision-making and problem-solving, prioritizing tasks effectively to meet deadlines
Qualifications:
Am I qualified for this position?
- High school diploma or equivalent
- Proficiency in Microsoft Office
- Excellent time management skills
- Experience with ISNetworld, Ariba, Avetta, etc. – preferred
- Detail-oriented with proficiency in organizational skills and time management
- Effective oral and written communication with a strong suit in interpersonal skills
- Twelve (12) months of administrative/office experience
